We are the sole owners of the information collected through the Site. We only collect information that you voluntarily provide, or that is collected automatically as described below.

Information you provide directly:

  • Contact form: name and email address (required), and company name and phone number (optional), when you reach out to us with a question or request.
  • Guide downloads: first name and email address, when you request one of our downloadable guides. These forms are hosted through our marketing platform, which collects and stores this information on our behalf.

Information collected automatically:

  • We use website analytics and advertising tracking tools to understand how visitors use the Site and to measure the performance of our advertising. These tools may use cookies or similar technologies to collect information such as your browser type, pages visited, and general location.
  • Our marketing platform may also use cookies or similar tracking technologies as part of providing website chat, form, and marketing features.

3. How We Use Your Information

We use the information we collect to:

  • Respond to your inquiries, such as answering questions, providing quotes, or scheduling services.
  • Send the guide or resource you requested.

5. Text Messaging (SMS) Communications

If you provide your mobile phone number to us, we may send you text messages related to your inquiry or our services, such as appointment confirmations, service updates, or information you’ve requested. Message frequency varies, and message and data rates may apply. You can opt out of text messages at any time by replying STOP, or opt back in by replying START. For help, reply HELP or contact us using the information in Section 14.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All other sharing and use practices described in this Privacy Policy apply to information collected through text messaging just as they do to information collected through the rest of the Site.

6. Online Payments

The Site does not currently collect payment card information directly. If we add the ability to pay an invoice online, that link will redirect you to our payment processor, Alternative Payments, and any payment information you provide will be handled under Alternative Payments’ own privacy policy, not this one.

7. Client Portal and Managed Services

If you are a Portolan Networks client, you may also access a separate client support portal hosted by our IT support platform provider, Invarosoft, on a separate domain. That portal, and the handling of any data related to the IT services we provide to you, is governed by our Master Services Agreement or other service agreement with you, and by Invarosoft’s own privacy practices — not by this Privacy Policy, which applies only to the public website at portolannetworks.com.

8. Cookies

A cookie is a small piece of data stored on your device to help us recognize repeat visitors and understand how the Site is used. We use cookies through website analytics tools, advertising tracking tools, and our marketing platform, as described above. You may disable cookies through your browser settings, though this may limit some Site functionality.

9. Data Retention

We keep the information collected through the Site for as long as needed to respond to your inquiry or provide the resource you requested, and until you ask us to remove it. We do not currently have a fixed retention schedule for this information; you may request that we delete your information at any time using the contact information below.

  • See what information we have about you.
  • Correct any information we have about you.
  • Request that we delete your information.
  • Opt out of future marketing emails, using the unsubscribe link in any email or by contacting us directly.
  • Opt out of text messages at any time by replying STOP, as described in Section 5.
  • Raise any concern about how we use your information.

The Site is intended for business use and is not directed to children. We do not knowingly collect personal information from children under 13.

We take reasonable precautions to protect the information you provide.
